Sample teaching contract

A good teaching contract protects three things:

  1. Your time — clear rules on cancellations, no-shows, and reschedules so you don’t end up subsidising people who don’t show up.
  2. The relationship — written expectations beat unspoken ones every time.
  3. Your business — payment terms, IP on materials, what happens if the relationship ends.

Below is a template you can copy and adapt. Pair it with PinTeach’s cancellation-policy engine so the rules in the contract match the rules the platform actually enforces.

Between: {Teacher full name}, {Tax ID / NIF}, {address} (“the Teacher”) And: {Student full name}, {address} (“the Student”) Date: {YYYY-MM-DD}

The Teacher will provide language lessons in {target language} as agreed between the parties. The format (one-to-one, group, online, in-person) and the schedule are agreed in advance and managed through the Teacher’s booking platform.

  • Each booked session counts as one credit from the Student’s active package.
  • Sessions last {duration} minutes unless otherwise agreed in writing.
  • The Teacher confirms each session via the platform; the Student is responsible for joining on time using the link / location provided.
  • Cancellations and reschedules requested more than {N} hours before the session do not consume the credit.
  • Cancellations made less than {N} hours before the session consume the credit (late cancel).
  • No-shows by the Student consume the credit.
  • If the Teacher cancels for any reason, the credit is released back to the Student and the Teacher offers a reschedule.
  • Packages must be paid in full before the first session.
  • Payment is processed through {Stripe / bank transfer / cash}.
  • Invoices are issued through the platform and reflect the date the package was purchased.
  • Refunds: unused credits are refundable up to {N} days from purchase, minus a {X}% admin fee. After that, refunds are at the Teacher’s discretion.
  • Materials prepared by the Teacher remain the Teacher’s intellectual property. The Student may use them for personal study; they may not be redistributed.
  • Material the Student creates (homework, written work) belongs to the Student.

Both parties agree to communicate respectfully and on time. Either party may terminate the agreement with {N} days’ notice. Unused credits at termination are refunded according to the rules in §4.

The Teacher processes the Student’s personal data (name, email, phone, session history) solely to provide the lessons and run the business. Data is stored on PinTeach (or {your platform}) and shared only with service providers required to deliver the service (e.g. Stripe for payments, Google Calendar for scheduling). The Student may request export or erasure at any time.

This agreement is governed by the laws of {jurisdiction}. Any disputes will be resolved in good faith between the parties before any legal step.

If you adopt this template, the matching PinTeach settings to configure are:

  • Cancellation policies (Settings → Cancellation policies) — set the hours threshold and the no-show behaviour. Students see the policy before booking.
  • Legal documents (Settings → Legal documents) — paste your final contract here. Students accept it once at signup and on every version change.
  • Privacy policy — required if you store student data. Use the same Legal documents flow.
