Your ideal student profile

PinTeach is built for teachers who run their own thing — solo or close to it. The single biggest lever for a sustainable solo teaching business isn’t more students; it’s the right students. This page is a 20-minute exercise to figure out who that is for you.

If you do this once a year you’ll be ahead of 90% of language teachers who never look at their roster as a business decision.

Download as worksheet — print it, fill it in by hand, keep it as a yearly artefact.

Open your last 12 months of students. Put each one in exactly one bucket:

Bucket What it means
🟢 Champions Pay on time, show up, recommend you, you enjoy teaching them
🟡 Stable Show up reliably, pay, but no extra spark
🟠 Heavy maintenance Lots of cancels / reschedules / WhatsApp messages outside class hours
🔴 Net negative Drain you. Late payments, late notice, complaint-heavy

If you can’t decide, default to 🟡 Stable. The exercise is more valuable when you’re honest.

Step 2 — Look at what your Champions have in common

Section titled “Step 2 — Look at what your Champions have in common”

For each 🟢 student, note:

  • Why they originally came (goal, deadline, life moment)
  • What they pay you per month on average
  • How they found you (referral, your site, a marketplace, Instagram…)
  • One specific thing they often say about your classes
  • How long they’ve been with you

Now look at the list as a whole. Patterns will jump out.

Example pattern from a real teacher: “My champions are 35–50, working professionals, came after a recommendation, value structured homework, started 14+ months ago.” That’s their ideal student in one sentence.

Write yours:

My ideal student is …………………………………………………………

Step 3 — Look at your Heavy-maintenance bucket

Section titled “Step 3 — Look at your Heavy-maintenance bucket”

For each 🟠 student, ask:

  • What specifically eats your time? (Last-minute changes? Long WhatsApp threads? Always asking for discounts?)
  • Is the friction temporary (a hard month) or structural (always like this)?
  • Are they paying you enough to justify the time you actually spend on them?

Most teachers find 2 or 3 students take 30%+ of their admin time. That’s the room you have to work with.

Step 4 — Decide what to do with each bucket

Section titled “Step 4 — Decide what to do with each bucket”
Bucket Action
🟢 Champions Protect. Ask for referrals or testimonials. Block recurring slots so they always have a place.
🟡 Stable Lift one level. What would turn them into Champions? Sometimes it’s just a better-defined program.
🟠 Heavy maintenance Set a boundary. Stricter cancellation policy, paid hourly minimums, no off-hours WhatsApp.
🔴 Net negative Plan an exit. Finish their current package, don’t renew. Politely.

PinTeach has the tooling for all of this:

  • Cancellation policies (per-service) so 🟠 students see hard enforcement instead of you having to argue in WhatsApp.
  • Recurring schedule for 🟢 students so they keep their slot without booking each week.
  • Campaigns to re-engage 🟡 students with structured offers.
  • Tags on the student profile so you can see at a glance who’s who.

Now that you know who you teach best, your public-facing pages should reflect it.

Change your teacher profile (and PinTeach widget) to speak directly to that ideal student. Specific beats vague every time:

  • ❌ “I’m a friendly teacher of Spanish for all levels.”
  • ✅ “I help working professionals (B1–C1) keep up business Spanish in weekly 1-hour sessions, with structured homework you can actually do in 20 minutes between meetings.”

The second version filters: it attracts your Champions and politely deflects Heavy maintenance students who’d be unhappy anyway.

Every 6–12 months, or whenever you feel burned out. Patterns shift as your business grows. The version of your ideal student at 8 active clients isn’t the version at 30.

Save this page in your bookmarks, run it every January, and pair it with a calendar block to actually do it.
